Volunteer Policies
1. Volunteers are required to complete
a volunteer application and sign a liability waiver stating that
they have read and agreed to RRUFF's policies. Volunteers will be
required to renew their liability waiver annually.
2. A volunteer may not participate in any RRUFF activities until
a signed volunteer liability waiver has been received by the Volunteer
Coordinator. Foster families must fill out a foster application
and sign a Foster Care Provider Contract. Foster families are approved
in the same manner as adopters. Volunteers and foster families are
approved by the Volunteer and Foster Coordinators respectively.
3. RRUFF volunteers will conduct themselves in a respectful and
professional manner at all times with respect to fellow volunteers,
adopters, the public, business entities, animal control facilities,
and any other entity they may come into contact with during the
course of RRUFF business, failure to do so will result in dismissal
from the organization.
4. Volunteers may not make public statements on behalf of RRUFF
without prior approval from the Board of Directors.
5. Authorized RRUFF agents will carry ID cards. These cards are
to be presented when picking up, delivering, or evaluating a dog;
attending an event; or performing a home check on behalf of RRUFF.
This will ensure that RRUFF is not misrepresented and that dogs
are not signed over to RRUFF erroneously or given to unauthorized
parties.
6. RRUFF volunteers are required to use official RRUFF forms for
all RRUFF business. Forms and supporting documents will be turned
over to the appropriate coordinator in a timely manner. Use of RRUFF
forms outside of RRUFF business must be authorized by a RRUFF Director.
7. Volunteers will have access to RRUFF's email lists. These lists
are the primary medium of communications and should only be used
for RRUFF business. Excessive posting of unrelated messages will
result in a warning, after a warning has been issued, repeat offences
may result in a review by the Board of Directors for remedial action,
up to and including dismissal from the organization.
8. Volunteers who have access to confidential information (such
as volunteer applications, adoption applications, foster applications,
address and contact databases, etc.) shall maintain the confidentiality
of such information at all times. Personal and contact information
of any volunteer, adopter, foster home, director or officer of RRUFF
shall not be divulged to any party unless the volunteer has direct
authorization to do so. Failure to adhere to this policy will result
in dismissal from the organization.
9. Volunteers handling any funds belonging to RRUFF will submit
those funds to RRUFF at P. O. Box 4129, Westford MA 01886 in a timely
manner. Executed adoption contracts shall be submitted to RRUFF
at P. O. Box 4129, Westford MA 01886 by the volunteer releasing
the dog by the next business day after a dog is adopted from the
organization.
10. Volunteers may not leave a dog unattended at an event; foster
dogs are to be under the supervision of a RRUFF volunteer at all
times. If a dog brought to an event on behalf of RRUFF behaves inappropriately
or shows aggression to people or other animals, the dog will be
removed immediately from the event by a volunteer. Sick or injured
dogs will not be permitted at an event.
11. Volunteers staffing events are to supervise and have in their
control any monies and merchandise belonging to RRUFF at all times.
12. Volunteers are not permitted to bring personal dogs to RRUFF
sponsored adoption events or events that they may staff on behalf
of RRUFF unless previously approved by a RRUFF Board of Directors
member. Exceptions to this specifically include events in which
a volunteer will be competing or demonstrating on behalf of their
dog/self, events that are designed for social purposes that include
personal dogs, and events that are designed as fund raisers that
may include personal dogs.
13. Misconduct or violation of RRUFF's policies by any volunteer
or Board of Directors member may be reported to the RRUFF Board
of Directors, the Volunteer Coordinator or to the Chief Operations
Officer. Misconduct or violation of RRUFF's policies may result
in a review by the Board of Directors for remedial action, up to
and including dismissal from the organization.
14. It is the policy of RRUFF that
membership is on an at-will basis. Definition of at-will membership
policy: membership may be terminated at any time, with or without
cause, by either the volunteer or the organization. No member
of the organization has the authority to enter into any agreement
for membership for any specified period of time or to make any
agreement for membership other than at-will.
